1. Personal information

Personal information is anything that directly or indirectly identifies and relates to a living person, including name, address, telephone number, date of birth, photographs, video recordings etc.

Some personal data is more sensitive than others and needs greater protection. In the context of Drum Works’ activities, sensitive information includes anything that can reveal an identifiable individual’s physical or mental health, religious or philosophical beliefs, racial origin or ethnicity.

2. How we collect personal information

We collect personal data in the following ways:
– When you provide your contact details to us for the purposes of participating in our activities, or as the parent/carer/emergency contact of a participant in our activities
– When you provide your contact details to us via our website forms, by email, telephone or face-to-face
– When you subscribe to our newsletter
– When you make a donation to us
– Via openly available public sources (e.g. company websites)

3. How we use personal information

We may use your personal information for the following purposes:
– To deliver our core activities and services
– To fulfil a query or request
– To undertake fundraising activities
– To email newsletters to you if you have subscribed to our mailing list
– To maintain records of prospective, current and past clients and suppliers
– To track your interaction with our website and newsletters

4. Your rights regarding your personal information

The law gives you a number of rights regarding your personal information. These rights have been strengthened under the General Data Protection Regulation (GDPR):
– You have the right to request a copy of the personal data we hold about you and the purposes for which we are using it
– You have the right to request that we amend any personal data which is incorrect or requires updating
– You have the right to request that we delete your personal information if you think we should no longer be using it

5. Sharing your personal information

Your personal information may be shared with a third party if it is essential to fulfil a contract or agreement with you, to send you the communications you have subscribed to or to process a payment or donation. Examples of these third parties include our bank (in order to process payments) and our email distribution service provider. Where we have these arrangements with third parties there is always an agreement in in place to make sure that the organisation complies with data protection law.

We may disclose your personal data if required to do so by law, or if we consider there is a good reason to do so that overrides your right to privacy, for example:
– to protect a child
– to protect an adult who is thought to be at risk
– to find and stop crime
– if there is serious risk to the public, staff or other professionals
In this event, we will record what information we share and our reasons for doing so.

We will not share your information other than as described above without your express consent.

6. Protecting your personal Information

Your personal information is held in securely, both on paper and electronically, and is only made available to those who have a right to see it. We may use external data service providers to process personal data on our behalf, and where we do so we have appropriate agreements in place to protect the data.

7. How long we keep your data

We only hold your personal information for as long as is necessary for the purposes we are using it for.

8. Sensitive information

Under 16s:
If you are under 16, any personal information you provide via project consent forms or otherwise should be authorised by a parent/carer.

Project participants:
If you are a participant in our activities we may need to obtain additional information from you including, for example, medical details, details of any learning difficulties or special access requirements. This information will be used to plan and deliver the best experience for you and to keep you safe, and it may be passed to emergency services should the need arise.
